Position Summary

As an integral member of the team, the Receptionist acts as a front line professional, welcoming all residents, guests and rental inquiry applicants. In addition, this role provides support to the leasing and administrative teams to ensure industry leading levels of customer service are provided to all stakeholders at the community. This position may require some irregular hours from time to time particularly at month ends.

Key Responsibilities

  • Perform general office administration and operation support services.
  • Greet and qualify current and potential residents by telephone or in person at reception and direct them appropriately with the view that the end result will be a new resident.
  • Using professional telephone techniques, answer calls by the third ring and respond to or redirect appropriately.
  • Support the leasing team with walk in enquiries, telephone inquiries or any other tasks as required.
  • Accept rent payments from current residents.
  • Prepare maintenance requests from residents, process completed work orders in Yardi, and follow up after work orders have been completed.
  • Receive and process incoming / outgoing mail, faxes and courier packages and distribute them appropriately.
  • Operate general office equipment – personal computer (MS office environment), fax/copier/scanner, meridian telephone system, shredder, two-way radios, etc.
  • Organize and maintain a professional office space including the maintenance of office supplies and equipment.
    • Order toner for fax machines, printers & photocopiers.
    • Call technicians to fix problems arising with equipment.
    • Purchase and maintain inventory (within authority) of coffee supplies.
    • Ensure contact lists and systems are kept up to date at all times.
  • Assist with event organization at the property as needed.
  • Ensure compliance with the Residential Tenancies Act in all procedures.
  • Ensure comprehension and compliance with all Westcorp Playbook policies by community staff.  
  • Ensure local, provincial, & federal laws and regulations are being observed at the community.
  • Perform other projects and duties as assigned or required by the Community Manager.

Required Skills & Abilities

  • High school graduate; post-secondary education is an asset
  • 1-3 years relevant reception experience in a busy office environment
  • Knowledge and use of general office equipment including telephone/switchboard experience
  • Proficient computer skills and knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Must have own vehicle and valid driver’s license
  • Strong interpersonal skills and analytical skills
  • Appearance must be neat, clean and professional
  • Must be flexible and willing to change roles or responsibilities as required
  • High degree of professionalism and dedication to all stakeholders
  • Security clearance required upon offer of employment

  • Highly organized, results oriented and ability to work in a multi-functional team environment
