  • Position Summary

    As an integral member of the team, this position will ensure industry leading levels of customer service and facilities are provided to all customers and visitors to the community. To achieve results, this position will adhere to administrative procedures that will improve efficiencies and ensure accurate reporting processes are completed. This position is part time and may require some extra hours from time to time particularly at month end.         

    Key Responsibilities

    Key Responsibilities:

    • Answer telephones, greet guests and handle enquiries in a professional manner.
    • Maintain all Owner information in Yardi.
    • Accurately post all payments in Yardi and perform daily bank deposits.
    • Receive condominium fees, rent and utility payments.
    • Manage Electronic Funds Transfer (EFT) and Post-Dated Cheque (PDC) processes.
    • Monitor and reconcile all condominium account ledgers.
    • Contact current Owners and tenants regarding condominium fees, returned (NSF) cheques, account balances, requests, etc.
    • Create and update the monthly A/R summary spreadsheet on a daily basis or as required.
    • Monitor and collect A/R on an on-going basis with notices and calls to residents, updating Property Manager regularly of progress.
    • Process accounts payable invoices.
    • Create tenant charge-back invoices as required.
    • Participate in the administration of the utility program.
    • Prepare maintenance requests from Owners and Residents and Follow up with Owners and Residents after maintenance completion to ensure completion and monitor timeliness and quality of work.
    • Complete/prepare purchase orders as required.
    • Prepare estoppels and document requests.
    • Complete documentation and turnover for new Owners.
    • Provide support to the leasing team and in particular to the Leasing Agent/Administrator.
    • Attend weekly Community Meetings to stay informed of on-site initiatives and programs.
    • Execute all work in a safe, professional manner in compliance with Occupational Health and Safety Legislation.
    • Ensure comprehension of all policies and procedures including compliance with all Westcorp Playbook policies.
    • Other duties as required and assigned by the Property Manager.

    Required Skills & Abilities

    Required Skills and Abilities:

    • High School Graduate; Post-Secondary Education, relevant condominium management and accounting experience an asset
    • 1-3 years relevant administrative experience
    • Demonstrated ability to provide exceptional customer service and effectively resolve customer concerns
    • General knowledge of general ledgers and A/R an asset
    • Advanced computer skills in Microsoft Office (Word, Excel, Outlook); Experience with Yardi an asset
    • Must be personable and have a positive, energetic attitude
    • Must be flexible and willing to change roles or responsibilities as required
    • Strong inter-personal, communication and analytical skills
    • Must have own vehicle and valid driver's license
    • Security clearance required upon offer of employment
