  • Position Summary

    As an integral part of the team, the Administrator will perform a wide variety of administrative and leasing support duties. In addition, this role will strive to ensure industry leading levels of customer service and facilities are provided to all customers by aiming to maximize value through highly effective revenue collection techniques and minimize expenses by realizing efficiencies. This position will perform basic accounting and administration to improve and ensure the integrity of reporting at the property. This position may have irregular hours required at month end.           

    Key Responsibilities

    • Greet and qualify customers on the telephone or in person, set up appointments, and perform other various tasks to assist with the leasing of suites with specific leasing goals in mind.
    • Receive rent, monitor, and reconcile all residential accounts; Perform daily deposits.
    • Pull and stamp all post-dated rent cheques on the first business day of each month.
    • Maintain a “Cheque Box” containing post-dated cheques received by residents.
    • Communicate with current residents regarding rent, outstanding balances, credit balances, security deposits, returned rent payments, accounts balances, requests, etc.
    • Communicate rental rate changes, delinquent payments, eviction notices and follow up.
    • Record prospect information, set up new resident accounts, demographics, parking and all payments in Yardi.
    • Follow-up with prospects and notify applicants on application status.
    • Conduct the viewing of show suites with prospective residents.
    • Run and update aged receivables summaries from Yardi.
    • Check rental applications for accuracy and oversee signing of leases.
    • Prepare New Resident Welcome Information Packages.
    • Review and oversee Lease Renewals; Record notices to vacate from residents.
    • Perform walk-through inspection of all vacant suites and conduct in/out inspections when required. Report all deficiencies to the Community Manager.
    • Complete, along with the Community Manager, credit/employer/landlord checks for potential residents and recommend approving or declining applications based on qualifications.
    • Assist the Community Manager in preparing vacant suites for market-ready condition.
    • Maintain contact with utility companies regarding account set-ups, cancellations, information, payments, etc.
    • Sort, stamp and code invoices ensuring to process them in a timely manner.
    • Complete traffic reports and shop the competition to stay informed on market conditions.
    • Attend on-going training to improve sales techniques.
    • Execute all work in a safe, professional manner in compliance with Occupational Health and Safety Legislation.
    • Ensure comprehension and compliance with all Westcorp Property Management Inc. Playbook policies.
    • Perform other duties as assigned by the Community Manager.

    Required Skills & Abilities

    • High School Graduate; Post-Secondary Education is an asset
    • 1 to 3 years relevant experience; Basic accounting experience a requirement
    • Proficient computer skills and knowledge of Microsoft Office (Word, Excel, Outlook)
    • Strong inter-personal and analytical skills
    • Exceptional written and verbal communication ability
    • Must be personable and have a positive energetic attitude 
    • Appearance must be neat, clean and professional
    • Demonstrated ability to provide exceptional customer service and effectively resolve customer concerns
    • General knowledge of general ledgers and A/R an asset
    • Security clearance required upon offer of employment
    • Possess sensational customer service philosophy
    • Must have own vehicle and valid driver’s license
    • Highly organized, results oriented and ability to work in a multi-functional team environment
