  • Position Summary

    As an integral member of the team, this position will ensure industry leading levels of customer service and facilities are provided to all customers and visitors to the community. To achieve results, this position will adhere to administrative procedures that will improve efficiencies and ensure accurate reporting processes are completed. Hours of work will vary between 25 to 30 hours per week and candidate must be available to work some evenings and weekends.

    Key Responsibilities


    • Answer telephones, greet guests and handle inquiries in a professional manner.
    • Maintain all Owner information in Yardi.
    • Accurately post all payments in Yardi and perform daily bank deposits.
    • Receive condominium fees, rental and utility payments.
    • Manage Electronic Funds Transfer (EFT) and Post-Dated Cheques (PDC) processes.
    • Monitor and reconcile all account ledgers.
    • Create and update the monthly A/R summary spreadsheet on a daily basis or as required.
    • Monitor and collect A/R summary spreadsheet on a daily basis as required.
    • Process accounts payable invoices.
    • Create tenant charge-back invoices as required.
    • Participate in the administration of the utility program.
    • Prepare maintenance requests from Owners and Residents and follow up to ensure completion and monitor timeliness and quality of work.
    • Complete/prepare purchase orders as required.
    • Ensure resident information packages and move in packages are complete and welcome packages are sent to all new residents.
    • Manage and maintain the leasing administration processes with accuracy including reporting and auditing.
    • Prepare move in files, ensuring all documents are enclosed and keys/cards are ready.
    • Complete move in orientation/inspections and move-out process in Yardio n time and accurately.
    • Perform pre-move in inspections of all vacating units, schedulew work to be done on turnover and issue purchase/work orders accordingly.

    • Complete move out statements with determination of move outc harges within the time-line.
    • Complete move in renewal and move out process in Yardi on time and accurately.
    • Prepare and deliver notices of entry and other correspondence as required.
    • Execute comprehension of all policies and procedures including compliance with all Westcorp Playbook policies.
    • Order duties as required and assigned by the Property Manager.


    Required Skills & Abilities

    • Post-Secondary Education.
    • Must have worked in a Real Estate company.
    • Relevant property/condominium management experience an asset.
    • Strong attention to detail, accuracy and completeness.
    • Ability to read and interpret legal-ease documents and statute law.
    • Work well in a team environment.
    • Must possess a great deal of individual initiative and enthusiasm.
    • Excellent analytical, communication and interpersonal skills.
    • Above average proficiency in variance of computer programs with emphasis on Microsoft Word, Excel and Outlook.
    • Must have own vehicle and valid driver’s license.
    • Security clearance required upon offer of employment.
    • Possess sensational customer service philosophy.
    • Highly organized, results oriented and ability to work in a multi-functional team environment.
