  • Position Summary

    This position will appeal to a responsible individual who has mastered the specific skills required to provide excellent customer experience. This role will be responsible for strengthening our position in the marketplace with exceptional retention and customer satisfaction abilities. To provide professional front line customer service, this role performs a wide variety of administrative and risk management duties which includes greeting and directing visitors and residents, while maintaining high levels of client satisfaction measured through the Net Promoter Score system. Hours of work will vary based on business needs.


    Key Responsibilities

    • Greet and direct residents and visitors at the building.
    • Receive and arrange pick up of delivery parcels.
    • Coordinate resident bookings of the moving elevators.
    • Assist with community events as required.
    • Monitor building security, ensure time zones are correct and building access points are locked at all times.
    • Setup, monitor and maintain strict key controls at all times as well as audit of building keys, access cards and occupant mail keys; issue and cancel cards as necessary - updating lists as required.
    • Control building access to trades people and service contractors while ensuring the contractors are in compliance with building rules and regulations.
    • Ensure after hours’ security is aware of all scheduled after hour activities.
    • Monitor and maintain the entry phone systems, emergency contact lists, after hour access contact lists, building population counts and Fire Warden contact lists - updating entries and lists as required.
    • Monitor contractor key and card sign out sheets and interact with contractors as required.
    • Accompany contractors to suites when security escort is required (ex. annual fire inspections of each unit).
    • Respond to any emergencies in the building and assist the Fire Warden for the complex.
    • Assist the fire department/Fire Warden with the annual fire drill and occupant training on procedures.
    • Remain informed on all information in relation to Fire Warden volunteer list and evacuation procedures.
    • Assist the Condo Manager with site audits and report any hazards or issues.
    • Liaise with contract security company and report any issues to the Condo Manager.
    • Ensure consistent communication with the Property Manager regarding operational or security updates.
    • Distribute standard building memorandums and assist with delivery of suite notices when required.
    • Monitor visitor parking, parkade and loading dock areas and process patrols documentation.
    • Take action on vehicles in violation of the parking agreement.
    • Resolve any parking concerns in a professional manner and in accordance with management’s direction.
    • Refer any actionable security issues to Property Manager or Police Service (if emergency call 911).
    • Maintain current First Aid certificate.
    • Attend weekly community meetings to stay informed of on-site initiatives and programs.
    • Ensure compliance and comprehension to all policies and procedures with all Westcorp Playbook policies.
    • Execute work in a safe, professional manner in compliance with Occupational Health & Safety Legislation.
    • Perform other duties as assigned or required by the Condo Manager.

    Required Skills & Abilities

    • Maintain two years of relevant experience required
    • Prior training in customer service programs an asset.
    • Demonstrated ability to provide exceptional customer service and effectively resolve customer concerns.
    • Appearance must be neat, clean and professional.
    • Must possess a great deal of individual initiative and enthusiasm.
    • Candidate must be able to work independently.
    • Candidate must be flexible and willing to change roles and responsibilities as required.
    • Strong interpersonal, analytical and communication sills.
    • Current First Aid certificate preferred - training will be required.
    • Must have own vehicle and valid driver's license.
    • Highly organized, results oriented and ability to work in a multi-functional team environment.
    • Security clearance require upon offer of employment.
